CHAPTER ONE

INTRODUCTION

1.0     Introduction:

Seminar registration and tracking system is an essential system is an essential tool for administration of research topic for student and the academic environment as a whole. The faster and more effective its work, lead to efficient management of academic resource and broaden students’ idea in solving academic problems and such problem bordering the society in different areas.

1.1     Background of the Study

Seminar topic tracking system refers to a specific application software that is used to store seminar topic record and other research resource in a computer system and helps in the selection and approval of seminar topic. Information Management encompass many aspects of computing and technology, and the term has become very recognizable and expands to cover many fields. Information technology professionals perform a variety of duties that range from installing applications to designing complex computer networks and information database. For instance, a database can be created just for the registration of seminar topics.

The development of seminar registration and tracking system strategy must be viewed in the context of increasing expectations and pressure for reform within institutions. The educational environment in which departments operate in changing; increased demand for efficiency has led to tracking technology being recognized as a valuable and innovative systems. In Nigeria, the polytechnic education system focused strongly on technical experience and creativity. In 1961, Lord Fredrick Lugard, the first governor of the unified colony, set up a school inspectorate, discipline, buildings and adequacy of teaching staff were to be inspected, but the most points given to a school’s performance went to the number and ranking of its technical skills. As more information is made available in a variety of formats and media and in a variety of locations, the need to manage information or data efficiently becomes more and more critical. Both staff and public users want access to stored information and want to access it more efficiently. It is the institutions policy to improve both the efficiency and effectiveness of course registration and seminar processing operations and services through the implementation of an integrated automated database system to manage its records (2). The use of personal computers has become very common in todays’ world. Therefore, the need to computerized the result processing the system cannot be underestimated because of its speed, ease of processing, accuracy and timelines. Computing trends that began in early 1980s have enabled low cost digital storage of information, rapid transmission of data across computer networks and sophisticated retrieval and processing of electronic documents and information (3).

With this background of increased information availability in a relatively short response time and technological innovation, tertiary institutions can develop new and revolutionary methods of providing and automated system for registering and tracking system.

1.2     Statement of the problem

The following problems were identified in the existing system managing seminar topic registration;

  1. To develop an automated system for effective and efficient registration of seminar topics by seminar supervisors.
  2. To create a database application for easy storage and registration of seminar topics.
  • To develop a system that will facilitate searching for related topics based on key words or phrase.
  1. To provide a platform for effective tracking of seminar topic.

 

1.4     scope of the Study

This study covers the development of seminar registration and tracking system, using computer science department Akwa Ibom State polytechnic, Ikot Osurua as a case study. It is focused on developing a software system that will aid easy tracking of seminar topic records by key word or phrase.

1.5     Significance of the Study

This research work is significant in the following ways;

  1. It will be useful to seminar supervisors as it will provide a platform for storage, tracking and management of seminar topics
  2. It will aid supervisors in the approval of topics
  3. It will prevent students from duplication of seminar topics
  4. The system will be useful to the management of the department as it will aid easy retrieval of reports of registered topics and the supervisors.
  5. The study will serve as a useful reference material to other researchers seeking related information.

1.6     Organization of Research

This research work is organized into five chapters, chapter one is concerned with the introduction of the research study and it presents the introduction, background, statement of the problem, aim and objectives of the study, significance of the study, scope of the study, organization of the research and definition of terms.

Chapter two focuses on the literature review, the contributions of other scholars on the subject matter is discussed.

Chapter three is concerned with the system analysis and design. It presents the research methodology used in the development of the system, it analyzes the present system to identify the problems and provides information on the advantages and disadvantages of the proposed system. The system design is also presented in this chapter.

Chapter four presents the system implementation and documentation, the choice of programming language and system requirements for implementation.

Chapter five focuses on the summary, constraints of the study, conclusion and recommendations are provided in this chapter based on the study carried out.

1.7     Definition of Terms

Seminar Topic: The title of a brief research investigation usually done by students and researchers.

Record: A group of related fields that describes and entity

Record Tracking: The searching or querying of records in a database using a specified criterion.

Management: The act of planning, organizing and controlling a group of people or endavour.

System: A combination of related parts working together to achieve a common goal.
