ABSTRACT

The project entitled “Gas Agency” is done to make the manual process easier by making it a computerized system for billing and maintaining stock. The Gas Agencies get the order request through phone calls or by personal from their customers and deliver the gas cylinders to their address based on their demand and previous delivery date. This process is made computerized and the customer’s name, address and stock details are stored in a database. Based on this the billing for a customer is made simple and easier, since a customer order for gas can be accepted only after completing a certain period from the previous delivery. This can be calculated and billed easily through this. There are two types of delivery like domestic purpose use delivery and commercial purpose use delivery. The bill rate and capacity differs for both. This can be easily maintained and charged accordingly. The stock of gas and all its details are processed swiftly.

CHAPTER ONE

1.0     INTRODUCTION           

A gas agency has number of customers whenever a customer need for booking of gas; they come and make a booking for refilling of gas. Whenever a customer comes for booking his/her details are stored in booking register against booking number. When refilled cylinder is released, this is done in first come first serve basis .i.e. order of booking number. When a customer joins, he/she is given a customer number and then his/her details are appended at the end of customer register. Similarly, for the incoming transfer of customer, after validating the customer details these are appended at the end of customer register.

The system shows us the work of the gas agency. It provides the connection of new gas refill. And it also exchanges the full refill instead of empty refill. For that it has the customer all information. It can also provide different tools related to the gas department. Like regulators, hotplate, lighters, tubes etc.

For that it has to provide some information. The existing system is work like that. It provides some information as a written data. It collect customer, stock, booking information. The information is very useful for the system to work on it. The customer information having such information like customer name, customer address, phone no or the other connect no and it also give one id as a customer id . By that the data can enter. In that we refer that customer have how many refill, when it issue, etc. The other information is stock information in which we have the information of the stock related item. By that we can know how many things we have?, How many given?, etc. The stock is also very important. The last information that we collect is the booking. In that we collect the information of the booking statements. That customer name, when it order for another refill, etc.

After that we have to made some reports. The reports are also main feature. In that reports we consider the all information and all that data. They are to important. In the report the balance is also consider. So the reports are generally main concept in which we include all the agency’s work.

1.1     STATEMENT OF THE PROBLEM

The main problem with this current system is collection which is describe as below:

In the record book such operation like add, delete and update records are to difficult to perform. They records are have to change daily.

The second problem is generate the reports. The reports have to generate by it sequence but the existing system can not work properly. To determine the report we can also find many errors.

For finding the customer record we just have to find in the information record and it become to hard form find the history for the person.

In this system all work is distribute but it can not work properly and so easy for searching anything it just make to hard.

There is no security of the registers many things.

If one paper or some register is misplace then it create major problem. It is very time consuming.

1.2     SCOPE AND LIMITATION

This system is specially developed for VANAZ GAS AGENCY. It will handle the customer information and distributor information as well as billing for each sales activity. Advantages:

 The system is able to maintain the stock and account for the customer.

 It Print the bills for the customers.

 Give quick response to each and every requirement.

 The system overcomes the problem of finding the item name as well as customer name and distributor name.

 This system can easily maintain the record of the items sold to customer.

 It also maintains the accounts of transactions being made by the customer.

 The system keeps track of different customers and distributors through their unique code. Using this unique code you can know his information and also see the account of that customer or distributor.

 The unique bill number for sale on cash and credit can be easily distinguished by the system and from bill number the transaction type can also be found

 It will also give information about services.

1.3     AIM AND OBJECTIVES

The aim of this project is to make the lectures and students save their time. Beside that via this project we can less the usage of paper.

  • The objective is the final results to be achieved. The main objective is to develop this system to improve follow with new counters.
  • To design a new online system that’s capable of handling final year project registration.
  • To develop a database server using MYSQL that can communicate with the online final year registration system to store specific data from both lecturers and students.
  • To verify and validate the efficiency of the application.

1.4     SIGNIFICANCE OF THE STUDY

The signification of the study is the proper registration of title backing of final year project interactive using Graphical User Interface by Adobe Dreamweaver 8. This could help the admin, lectures and students choose their final year project title by online.

1.5     DEFINITION OF TERMS

Bill Notification: A feature of Online Account Services which notifies you via email when your bill is available online.

Billing Period: The period of time for consumption, charges, payments and adjustments that are included on your bill.

Collections: A third-party agency that is used to collect unpaid debt from a delinquent Gas South account.

Connect Fee: This fee on your bill is for connecting natural gas service at a location where there is existing gas service regardless of whether the gas is currently turned on or off. This fee includes the AGL Connect Fee.

Conservation: The protection, preservation, management, or restoration of natural resources in order to prevent depletion.

Consumer Credit Counseling Service (CCCS): This agency provides free, confidential budget counseling, community-wide education programs in money management, debt management programs for consumers who are overextended, and comprehensive housing counseling.

Consumption: The amount of natural gas used by a residential or business customer over a period of time.
