CHAPTER ONE

INTRODUCTION

1.1     Background to the Study

Communication is one of the dominant and important activities in organization. Fundamentally, relationships grow out of communication, and the functioning and survival of organization are based on effective communication among individuals and groups in an organization.

The secretary’s role in any formal organization cannot be overemphasized. The secretary is usually the person who makes the arrangements for meetings and keeps correspondence and other formal records of the organization. Without effective communication skills, the performance of secretarial duties will no doubt, become cumbersome and difficult.

Also, effective communication has a big role to play in conflict management in an organization. Poor communication and haphazard thoughts only add on to confusion and result in misunderstanding or conflict eventually.

Communication involves transmission of verbal and non-verbal messages. It consists of a sender, a receiver and channel of communication. In the process of transmitting messages, when the clarity of the message is been distorted which often referred to as barriers the essence and viability of the message would have reduced resulting in poor communication.

Since the beginning of man, there has always been need for man to communicate. According to Umeasigbu (2008), the word “communication” was derived from the Latin word “common”. This implies that while we communicate with others, we need to have something in common with those others. Hence we try to establish commonness by sharing information ideas or attitudes.

Furthermore, experience has shown that as it is the means by which behaviour of others are controlled. Communication serves as a tool for effective and efficient in any business organization. without communication, social interaction and the force that binds the society together. Human and organizational existence will not only be difficult but impossible.

Communication as a tool for effective management makes it easy for the new employees in the first bank plc to know their history, rules and regulations

1.2     Statement of the Problem

In an organizations or business enterprise development could have been a difficult task without effective communication. The problem of achieving positive goals and objectives of organizations related closely to effective communication, unfortunately, goals are not being achieved because of barriers or problems to good communication and poor channel of communication in the organizations and the society at large in view of fact that not organization can exist without communication. It is therefore become very necessary to investigate problem hindering effective and efficient communication in our organization. without communication there will not be working relationship based on trust and respect, and staff cannot work together and share common knowledge for output.

  1. Communication among staff
  2. Communication between workers and customers
  • Human limitations i.e when emotion is applied instead of reason, people do not take information with clear mind or in a rational and objective way.

1.3     Purpose of the Study

The major purpose of this study is to investigate the problems of communication in organization.

  1. To establish the challenges of ineffective communication
  2. To explain the concept of communication and effective performance of employees
  • To ascertain the various channel of communication in a business environment
  1. To establish the role of communication as a prevention to barriers in communication
  2. To bring out the effect of communication on the business sector.

 

 

1.4     Research Questions

  1. What are the challenges of ineffective communication?
  2. What are the concepts of communication and effective performance of employees?
  • What are the various channel of communication in a business environment?
  1. What are the roles of communication as a prevention to barriers in communication?
  2. How to bring out the effect of communication on the business sector?

1.5     Significance of the Study

On the completion of the study, it will be of significant to the management of the organization particularly in decision making policy concerning its administration. This research will also be of great importance to the employees in organization as they will be able to understand clearly how the system operates.

The management of organization will find this research work very useful in identifying the motivation needed by their workers and make it available to them as and when due the student stands to wilden the knowledge of the students on effective communication.

1.6     Scope of the Study

This research work is strictly limited to the challenges of ineffective communication in an organization using Kogi State Polytechnic, Lokoja as a case study. It also covers some principles of effective communication, barriers and remedies to effective and efficient management in an organization.

1.7     Limitations of the Study

This study has been limited by time factor and financial constraints. There was also little problem of gathering useful data because respondents do not always have time or interest to respond to the researcher’s questionnaires.

1.8     Definition of Key Terms

  1. Communication: Can be defined as any means that an individual use to convey or transfer meanings, ideas, feelings, emotions or attitudes to others.
  2. Challenges: to dispute especially as being unjust, invalid, or outmoded : impugn new data that challenges old assumptions.
  • Business: is an enterprise, a company, or a firm is an organizational entity and legal entity made up of an association of people how come together for profit purpose.
  1. Effective: can be seen as one having the power to produce a required effect or effects.
  2. Efficient: Is the process of making good, thorough, or careful use of resources, not consuming extra.
  3. Management: is the process or the executive of an organization, especially senior executives.
  • Objectives: Is the process of agreed upon by all parties present base on consensually observed facts.
  • Organization: Can be defined as a group of people or other legal entities with an explicit purpose and written rules.
  1. Principles: A fundamental truth or opposition that serves as the foundation for a system of belief.
  2. Tool: An instrument used in a practice of a vocation. The means whereby some act is accomplished.
